Intranet UX & Research
Rubius Therapeutics x XDS | Ragan Intranet Usability Award
I led user research (stakeholder interviews + quantitative surveys) & wireframe efforts for the initial intranet MVP in 2019 and have continued to partner with Rubius for additional phases into 2022 and beyond, accelerating new feature development and enhancements during the pandemic.
Today, Rubius Therapeutics has over 300 employees working on their diverse pipeline in oncology & autoimmune therapeutic areas. As the company continues to grow, a key intranet priority is continuing to maintain company culture and successful inter-departmental communication via the intranet.
The intranet has been very well received within the organization, making a huge impact on employee’s daily lives. Key metrics since launch:
- Over 315K page views since initial launch in Sept 2019
- A low 59% bounce rate (employees are getting to the intranet and staying)
- Similarly, 2.37 page views per session, with 4 minutes per duration
- Usage nearly doubling in volume during the earlier days of the pandemic and move towards remote/hybrid, from 2020 into 2021, and remaining at increased levels.
One of the main success factors of the Artery is deep integration with existing and external Rubius systems, making the intranet a one-stop and boosting employee productivity. The intranet was strategically designed for the modern workforce that works remote and onsite from the onset. Key features include seamless integrations with Motivosity (a peer-recognition platform) One Drive, MS Teams, collaboration sites, news aggregation with industry RSS feeds, customizable employee profiles that pull from external systems, alerts and notifications, and social features such as photo sharing with commenting and reaction abilities.
Additionally, each user now has the ability to customize their own intranet profile.
Each profile includes:
- Customizable profiles: profile photos, contact information (phone, email, job title, LinkedIn/Twitter profile), about section (education, hometown, birthday, and additional area to include a blurb about themselves)
- Interactive, custom-developed photo gallery – employees are able to comment & like posted photos, a highly-used feature during COVID-19 remote work in 2020 & into hybrid work today.
Custom profile pages drove employee interaction during remote work, empowering employees to get to know one another better. A segmented version of the Org Chart on each personal profile helps employees to locate a coworkers’ teammates quickly.
In addition to providing basic information by function, e.g., HR forms, legal policies, and a brand library, the new intranet has evolved to include and provide the following:
- Ensure employees receive important company information and announcements via company-wide and department-focused news, with a syndication feature that allows articles to be shared across the entire organization. In addition, notifications are provided to employees within the intranet for items they follow, combined with weekly, personalized alerts are sent for any items that may have been missed.
- Improved employee engagement via communities and photo sharing/liking/commenting to stay up to date and connected.
- Robust information and document search capabilities
- A fully responsive experience, allowing access from anywhere – office, home and on mobile devices
- Alleviation and optimization in time spent communicating internal updates via email. The Artery utilized notifications & weekly smart emails to capture the most relevant news of the week. These emails also drove a high-volume of click-throughs to The Artery.
- Help in managing calendars, events, meetings and important dates through a shared company calendar, allowing for dedicated, customized event pages combined with custom RSVP and photo sharing components to enhance awareness and social aspects.
- A platform for team collaboration within departments and across the company
-
- Individual team/department pages
- Integration with Microsoft Teams
- Personal profile pages for employees
- A robust employee directory
- Interactive Organizational chart
-
From a content perspective, the intranet has provided reorganized and easy to navigate system, with each department “owning” their site with reproducible templates to facilitate configuration and content development.
Each Home page (corporate/default and departmental) provides:
-
- Quick links to the most used documents
- Company announcements and upcoming events + corporate calendar
- Rotating photos with comments / likes
- A newsfeed of relevant healthcare industry news as well as news specific to core disease areas and cell therapy.
Custom department pages are top content features that bring employees back to the intranet regularly. Helpful links featured on each department page are big time-savers for employees. Giving all departments a templatized solution that gave them the flexibility to feature different information, while keeping a strong branded presence, was one of our key updates to the intranet.
Since the initial release and features were launched in late 2019, XDS and Rubius have continued to partner in intranet expansion and enhancements. We’re proud to have added several custom features that have boosted pageviews by 15% & time on page by ~5% when comparing 2020 stats to those of 2021.
